Important Notes
- Search before creating a new customer to avoid duplicate records.
- Use consistent display names for easier staff recognition.
- Keep email and phone information accurate.
- Confirm billing and shipping addresses before order or invoice processing.
- Use notes for internal reminders, not for unnecessary private information.
- Inactive customers should not be used for new orders unless reactivated intentionally.
Troubleshooting
| Problem | Possible Cause | Solution |
|---|---|---|
| No customers found | The search keyword may be too specific, or the status filter may hide results. | Clear the keyword, select Active or all statuses if available, and search again. |
| Duplicate customer records | The customer may have been created without searching first. | Search by email and phone before creating a new customer. Merge or deactivate duplicates if your system supports it. |
| Customer cannot be saved | Required fields may be missing, or validation rules may not be satisfied. | Review required fields such as customer type, display name, email, or status. |
| Incorrect billing or shipping information | The address may have been entered in the wrong section. | Confirm whether the address belongs in Billing Address or Shipping Address and update it. |
| Customer does not appear in the list | The status filter or search keyword may be hiding the record. | Clear filters and search again. Confirm that the customer was saved successfully. |
Best Practices
- Create a standard customer code rule if your business uses customer codes.
- Use clear display names that staff can recognize.
- Keep company name and contact person information separate and accurate.
- Review customer data before issuing invoices or processing shipments.
- Keep CRM notes concise and useful.
- Update inactive or outdated customer records regularly.
Customer records are used across CRM, billing, orders, support, and reporting. Accurate customer data helps prevent billing errors, shipping mistakes, and communication issues.
