SMTP Information

SMTP Information allows administrators to configure outgoing email delivery, authentication, message templates, and live email testing from one place.

Use this page when iBoard needs to send emails for registration confirmation, password reset, member management, notification messages, or system-generated email communication.

Overview

The SMTP Information screen is divided into three main workspace sections: SMTP, Message, and Send Test.

Workspace Description
SMTP Configure the outgoing mail sending method and provider settings.
Message Maintain default email subjects and content for member-related email flows.
Send Test Send a live test email to validate the current mail configuration.

SMTP Server Settings

The SMTP Server Settings area controls how outgoing emails are sent from the system. Depending on your configuration, iBoard can send email using SMTP information saved on this screen or through a registered communication provider such as SendGrid.

Sending Method

The Sending Method determines the default delivery route used by this SMTP configuration.

Method Description
SMTP View Settings Uses the SMTP information saved on this screen.
Communication Provider Uses a registered email provider, such as SendGrid or another configured email provider.

Email Provider

The Email Provider field determines which registered provider should be used when the Communication Provider sending method is selected.

If the default provider is selected, the system may try SENDGRID_DEFAULT first, then use the first active email provider depending on system configuration.

Save the SMTP server configuration before sending a test email.

Message Templates

Message Templates allow administrators to maintain default email subjects and content for common member-related mail flows.

Template Options

Option Description
Enabled Controls whether this message template group is enabled.

Enable this option if you want the system to use these templates for registration, password reset, and member management email flows.

Template Groups

The Message workspace includes multiple template groups. Each group controls a specific type of outgoing email.

Template Group Purpose
Subscriber Confirmation Message sent to confirm subscription or mailing list registration.
Reset Password Message sent when a user requests a password reset.
Member Management Message used for member-related account management emails.

Subject

The Subject field defines the email subject line.

Thank you for registering with us!

Email Body Editor

The email body editor allows administrators to design the HTML email content. You can use text formatting, links, buttons, images, tables, alignment tools, and HTML editing features.

The editor can be used to create professional email layouts such as registration confirmation messages, password reset instructions, and member account notices.

Sample

The Sample button allows you to preview or load a sample message design for the selected template.

After changing template contents, click Save to apply the latest email messages.

Send Test Email

The Send Test Email modal allows administrators to send a live test email using the current SMTP configuration. This is useful for checking server connectivity, authentication, provider routing, and email body formatting.

Quick Delivery Test

Use Quick Delivery Test to validate that the current SMTP or provider configuration can send an email successfully.

Field Description
From The sender email address.
To The recipient email address for the test message.
Subject The subject line of the test email.
Body The email body content. You can write plain text or HTML content depending on the IsBodyHtml option.
IsBodyHtml When checked, the body is sent as HTML email content.

Send a Test Email

  1. Open Admin > Site > SMTP.
  2. Select the sending method.
  3. Select or confirm the email provider if needed.
  4. Click Save to save the configuration.
  5. Click Send Test.
  6. Enter the From address, To address, subject, and body.
  7. Check IsBodyHtml if the body contains HTML markup.
  8. Click Send.
  9. Confirm that the recipient receives the email.

Recommended Workflow

  1. Configure the SMTP sending method or communication provider.
  2. Save the SMTP settings.
  3. Send a test email to confirm delivery.
  4. Enable message templates if the system should use default email templates.
  5. Edit Subscriber Confirmation, Reset Password, and Member Management templates.
  6. Save the message templates.
  7. Test the full registration or password reset flow.

Common Use Cases

Use SendGrid for outgoing email Select Communication Provider and choose the active SendGrid provider.
Send registration confirmation email Enable Message Templates and configure Subscriber Confirmation.
Send password reset email Configure the Reset Password template and test the password reset flow.
Check whether email delivery works Use Send Test Email after saving the SMTP configuration.
Send HTML email Design the body using the editor and keep IsBodyHtml checked.

Important Notes

  • Always save SMTP settings before sending a test email.
  • Use a verified sender address when using providers such as SendGrid.
  • If the email body contains HTML, keep IsBodyHtml checked.
  • Do not expose API keys, SMTP passwords, or provider secrets in email templates.
  • Test registration and password reset emails after editing templates.
  • Check spam or junk folders if a test email is not received.

Troubleshooting

Problem Possible Cause Solution
Test email is not sent SMTP settings may not have been saved, or the provider may be misconfigured. Save the configuration, then check provider settings and credentials.
Email is not received The message may be blocked, delayed, or delivered to spam. Check spam folder, provider logs, and recipient address.
Unauthorized or authentication error The provider API key, SMTP username, password, or sender verification may be invalid. Verify credentials and sender authentication settings.
HTML appears as plain text IsBodyHtml may not be enabled. Check IsBodyHtml before sending HTML content.
Template changes do not appear The template may not have been saved or the template group may be disabled. Enable templates and click Save after editing.

  • Use a dedicated sender email address for system emails.
  • Keep templates simple, responsive, and easy to read.
  • Test emails on desktop and mobile email clients.
  • Use clear subject lines for registration and password reset emails.
  • Keep provider credentials secure.
  • Review provider delivery logs when troubleshooting.
