Message Center
The Message Center allows administrators to search recipients, select a communication provider and template, compose a message, and send messages to selected users or bulk recipients.
Use this page when you need to send emails, SMS messages, notices, announcements, or other communication messages to customers, CRM contacts, newsletter subscribers, or selected recipient groups.
Overview
The Message Center is divided into two main areas. The left panel is used to search and select recipients. The right panel is used to compose the message, select the provider and template, write the subject and body, and send the message.
| Area | Description |
|---|---|
| Recipient Search Panel | Searches recipients by source, keyword, and page size. |
| Recipient List | Displays matching recipients from the selected source. |
| Compose Message | Used to select a provider, select a template, and write the message. |
| Recipient Preview | Shows the currently selected recipient name, email, and phone number. |
| Bulk Sending Notice | Shows the current bulk sending condition based on the search filters. |
Recipient Search Panel
The left panel is used to search recipients. You can choose a source, enter a keyword, select the number of results per page, and then click Search.
Source
The Source field determines where recipients are loaded from.
| Source | Description |
|---|---|
| Customer | Loads recipients from customer records. |
| CRM | Loads recipients from CRM contact records. |
| Newsletter | Loads recipients from newsletter subscriber records. |
Search
Enter a keyword to search by name, ID, email, or phone number. Leave the keyword empty to search all available recipients from the selected source.
Page Size
Page Size controls how many recipients are displayed in the search results at one time.
Total
Total shows the number of recipients matching the current search condition.
Bulk sending is processed based on the current search condition. Always confirm the source, keyword, and total count before sending a bulk message.
Recipient List
The recipient list displays the matching records from the selected source. Each recipient card may show the recipient name, ID, email address, and other available contact information.
- Select a source.
- Enter a keyword if needed.
- Select the page size.
- Click Search.
- Click a recipient from the result list to select that recipient.
Compose Message
The Compose Message area is used to prepare the message that will be sent. You must select a provider and normally select or write a template before sending.
Provider
Select the communication provider that will send the message. The provider determines whether the message is sent by email, SMS, or another channel.
- Email providers may include SMTP or SendGrid.
- SMS providers may include Twilio or another SMS vendor.
- The selected provider should be active and tested before use.
Template
Select a reusable communication template. When a template is selected, the subject and body may be filled automatically based on the template settings.
Templates are managed from Admin > Provider > Template. If no template appears, create an active template for the selected provider and channel first.
Recipient Preview
The Recipient section displays the selected recipient information.
| Field | Description |
|---|---|
| Name | The selected recipient name. |
| The selected recipient email address. | |
| Phone | The selected recipient phone number. |
Bulk Sending Notice
The yellow notice box shows the current bulk sending condition. It tells you which source, keyword, and total count will be used for bulk sending.
Example:
Bulk sending will be processed based on the current search conditions.
Source: Customer, Keyword: All, Total: 1
This means the message may be sent to all recipients matching the current search condition, not only the currently selected visible recipient.
Subject
The Subject field is used for email messages. It should clearly explain the purpose of the message.
Subject Examples
Your verification code
Payment confirmation
Important account notice
Monthly newsletter
Appointment reminder
SMS messages may not require a subject. If the selected provider is an SMS provider, the system may ignore the subject field depending on implementation.
Body Editor
The Body section contains the message content. Depending on the selected channel, this body may be sent as HTML email, plain text email, or SMS text.
Use HTML Editor
When Use HTML Editor is enabled, the rich text editor can be used to create formatted email content. This is useful for announcements, newsletters, invoices, and other email messages.
Editor Tools
| Tool | Purpose |
|---|---|
| Paragraph / Font / Size | Controls text style, font family, and font size. |
| Bold / Italic / Underline | Applies text formatting. |
| Alignment | Aligns the message content left, center, or right. |
| List | Creates bullet or numbered lists. |
| Link | Inserts a clickable link. |
| Table | Inserts table content into the message. |
| HTML / Code View | Allows direct editing of HTML content. |
| Preview | Previews the message before sending. |

- Select a provider.
- Select a template or write the subject and body manually.

Sending a Bulk Message
Bulk sending uses the current search conditions from the left panel. The system sends the message to recipients that match the selected source and keyword condition.
- Select the source, such as Customer, CRM, or Newsletter.

Using Templates
Templates help keep messages consistent and reduce manual typing. A selected template can automatically fill the subject and body.
Template Variable Examples
{CustomerName}
{UserName}
{Email}
{Phone}
{VerificationCode}
{OrderNumber}
{InvoiceNumber}
{PaymentLink}
{SiteName}
Available variables depend on the message source, template configuration, and sending process.
Recommended Workflow
- Open Admin > Provider > Message Center.
- Select the source.
- Search and confirm the recipient list.
- Select an active provider.
- Select a matching template.
- Review or edit the subject and body.
- Confirm the selected recipient or bulk sending condition.
- Send the message.
- Review send logs if the message does not arrive.
Common Use Cases
| Use Case | Recommended Method |
|---|---|
| Send a notice to one customer | Search the customer, select the recipient, and send a message using an email provider. |
| Send a newsletter | Select Newsletter as the source, confirm the total count, and use a newsletter template. |
| Send a CRM follow-up | Select CRM as the source and send a targeted message to matching contacts. |
| Send payment information | Use a payment-related template and confirm variables such as amount and payment link. |
| Send SMS | Select an SMS provider and use a short plain-text message. |
Important Notes
- The selected provider must be active and configured correctly.
- The selected template should match the provider channel.
- Email templates can use HTML, but SMS messages should be plain text.
- Bulk sending is based on the current search condition.
- Always check the total recipient count before sending bulk messages.
- Do not send test messages to real customer groups.
- Review send logs when troubleshooting delivery issues.
Troubleshooting
| Problem | Possible Cause | Solution |
|---|---|---|
| No recipients found | The source or keyword may be incorrect. | Change the source, clear the keyword, and search again. |
| No provider appears | No active provider may exist for the channel. | Create or activate a provider from Provider settings. |
| No template appears | No active template may exist for the selected provider or channel. | Create or activate a matching template. |
| Message does not send | The provider may be inactive, misconfigured, or missing credentials. | Check provider settings and run a send test. |
| Variables are not replaced | The template may contain unsupported variable names. | Use variables supported by the selected source and template process. |
| Message was sent to the wrong group | The current search condition may not have been checked before bulk sending. | Always confirm source, keyword, and total count before sending. |
Best Practices
- Create and test providers before using the Message Center.
- Create reusable templates for common message types.
- Use clear subject lines for email messages.
- Use short plain text for SMS messages.
- Search and verify recipients before sending.
- Send a test message before sending to a large group.
- Review send logs regularly to confirm delivery status.
The Message Center can send messages to individual recipients or groups. Use it carefully, especially when sending bulk messages to customers, CRM contacts, or newsletter subscribers.
