Order Management

Order Management allows administrators to view customer orders, search orders, update order status, manage tracking numbers, process item cancellation or refund requests, and manage shipment records.

Orders are the final result of the customer checkout process. Use this screen carefully because changes to order status, refunds, cancellations, and shipment information may directly affect customer communication and fulfillment.

Overview

The Order Management screen is divided into two major areas: the order list and the order detail screen. The order list is used to search and review orders, while the order detail screen is used to manage items, shipments, order status, tracking number, internal notes, and totals.

Area Description
Dashboard Summary Shows current page total and order status counts such as Paid, Preparing, and Shipped.
Search Filters Allows administrators to search by order number, user ID, date period, and status.
Order List Displays matching orders and provides access to order details.
Order Details Used to process item cancellation, refunds, shipping, tracking, memo, and order status updates.
Shipments Used to create shipment records, manage tracking numbers, scan shipments, and get rates when supported.

Order List Screen

The Order List screen displays orders based on the selected search conditions. Administrators can search orders by keyword, status, date range, and page settings.

Summary Cards

Card Description
Current Page Total Shows the total sales amount for the current page of order results.
Paid Shows orders that have completed payment.
Preparing Shows orders currently being prepared for fulfillment.
Shipped Shows orders that are in transit or shipped.
The Current Page Total is based only on the currently displayed rows, not necessarily all orders in the system.

Top Buttons

Button Purpose
Shipping Scan Opens the shipping scan screen to scan internal barcodes or shipment records.
Add Status Allows administrators to add or manage order statuses.
Reset Filters Clears the current search filters and reloads the order list.
Export Exports order data when export is available.

Search Filters

Search Filters help administrators locate specific orders quickly.

Filter Description
Keyword Searches by order number or user ID.
Status Filters orders by order status.
From Start date of the order search period.
To End date of the order search period.
Search Applies the selected search conditions.

Keyword Search

Enter an order number or user ID to find a specific order.

Examples:

Status Filter

Use the status dropdown to view orders by current order status.

Paid
Preparing
Shipped
Canceled
Refunded

Date Range

Use From and To dates to filter orders by order date.

Date filtering is useful for daily sales review, monthly settlement, fulfillment checking, and customer service investigation.

Order List Table

The Order List table displays order search results. Click an order row or available action to open the order detail screen.

Column Description
ID The internal order ID.
Order The order number or order identifier.
User The customer or user account related to the order.
Status The current order status.
Payment The payment status or payment information.
Date The order date.
Sub The order subtotal.
Ship The shipping amount.
Tax The tax amount.
Grand The final order total.
Tracking The order tracking number or shipment tracking information.

Order Details Screen

The Order Details screen is used to review and process a single order. It includes order items, cancellation and refund actions, shipment records, order status updates, totals, and customer memo.

Order Header

The order header displays key order information such as order ID, order number, user code, order date, and current status.

Header Item Description
Order ID The internal order ID.
Order No The order number used for tracking and customer service.
User Code The user or customer account identifier.
Date The order creation date and time.
Status The current order status.

Order Detail Buttons

Button Purpose
Shipping Providers Opens shipping provider configuration or related provider tools.
Seed Shipping Statuses Creates or initializes default shipping statuses.
Shipping Info Displays or edits shipping-related information.
Back Returns to the order list.

Items Section

The Items section displays products included in the order. Administrators can review quantity, unit price, line total, tax information, subtotal, and item-level actions.

Column Description
Product The ordered product name and item identifiers.
Qty The ordered quantity.
Unit The unit price of the product.
Line The line total before final order totals.
Tax Meta Tax classification or tax-related item information.
LineTax The tax amount for the item line.
Subtotal The subtotal for the item line.
Action Provides actions such as Cancel or Refund.

Cancel Item

The Cancel action is used when an order item should be canceled before fulfillment or when cancellation is allowed by the order process.

Refund Item

The Refund action is used to process an item-level refund request when supported by the payment and order workflow.

Always verify payment status, fulfillment status, and company policy before canceling or refunding an item.

Shipments Section

The Shipments section manages shipping labels, tracking numbers, internal barcodes, and shipment status.

Column Description
ID The internal shipment record ID.
Carrier The shipping carrier.
Service The shipping service type.
Tracking No The carrier or internal tracking number.
Internal Barcode The internal barcode used for scanning and warehouse operation.
Status The shipment status.
Created The shipment record creation date.
Action Provides shipment-related actions.

Shipment Buttons

Button Purpose
Shipping Scan Opens the scan workflow for internal barcode or shipment processing.
Get Rates Requests shipping rates based on provider, package weight, and package dimensions.
Create Shipment Creates a shipment record for the order.

Get Rates and Create Shipment

The shipping rate area is used to select a shipping provider, enter package weight and dimensions, and request shipping rates when provider integration is available.

Field Description
Shipping Provider The provider used for rate calculation or shipment creation.
Weight oz The package weight in ounces.
Length The package length.
Width The package width.
Height The package height.
Get Rates Calculates or retrieves available shipping rates.

Manual / Internal Label

When using a manual or internal label provider, administrators can create internal shipment records without external carrier label generation.

Field Description
Provider The shipment provider. Example: Manual.
Carrier The carrier name. Example: Internal.
Service The service name. Example: Manual Shipping.
Tracking No The tracking number stored for the shipment.
Amount The shipment cost or amount.
Currency The shipment currency. Example: USD.
Save Saves the shipment record.

Update Order Section

The Update Order section is used to update order status, tracking number, administrator memo, and internal attachments.

Field Description
Order Status Updates the current order status.
Track No Stores the tracking number for the order.
Admin Memo Internal administrator memo for customer service or fulfillment records.
Admin Memo Attachments Allows multiple files to be uploaded as internal attachments.
Save Saves order status, tracking number, memo, and attachments.
Admin Memo is for internal use. Use it to record customer service notes, fulfillment issues, refund reasons, or shipment instructions.

Totals Section

The Totals section displays the order financial summary.

Total Description
SubTotal Total product amount before coupon, shipping, and tax.
Coupon Coupon discount amount.
Shipping Shipping fee.
Tax Tax amount.
GrandTotal Final order total.

Customer Memo

The Customer Memo section shows notes or messages entered by the customer during checkout.

Review customer memo before fulfillment. Customers may include delivery requests, order notes, or special instructions.

Recommended Workflow

  1. Open Admin > iShop > Orders.
  2. Search orders by order number, user ID, date range, or status.
  3. Open the order detail page.
  4. Review ordered items, quantity, price, tax, and totals.
  5. Check customer memo and admin memo history.
  6. Cancel or refund items only when appropriate.
  7. Create or update shipment records.
  8. Enter tracking number.
  9. Update order status.
  10. Save the order update.
  11. Confirm that the order list reflects the updated status.

Common Use Cases

Find a customer order Search by order number or user ID.
Prepare an order Open order details, review items, then update status to Preparing.
Ship an order Create a shipment record, enter tracking number, then update status to Shipped.
Process cancellation Use item-level Cancel after verifying order and fulfillment status.
Process refund Use item-level Refund after verifying payment and refund policy.
Record internal note Enter details in Admin Memo and attach files if needed.

Important Notes

  • Order status changes may affect fulfillment and customer communication.
  • Cancellation and refund actions should be performed only after verifying order status and company policy.
  • Tracking numbers should be accurate before marking an order as shipped.
  • Shipment records should be created before printing labels or scanning internal barcodes.
  • Customer memo should be reviewed before shipping.
  • Totals should be reviewed before processing refunds or adjustments.

Best Practices

  • Use search filters to avoid editing the wrong order.
  • Review all item details before changing order status.
  • Keep admin memos clear and factual.
  • Use shipment records for tracking and fulfillment history.
  • Test shipping provider settings before using live shipping labels.
  • Do not mark an order as shipped until tracking information is confirmed.
  • Use consistent order statuses for reporting and customer service.
Order Management is a high-impact administrative area. Review order details carefully before saving changes, especially for refunds, cancellations, shipments, and status updates.
